Lead Generation - Optimize Phase
A performance review task force is a small group, usually three to five people, that brings together different perspectives and skills to monitor and optimize the performance of the lead generation initiative. This team will drive the following agendas:
Analyze the performance of the lead generation initiative according to the agreed KPIs and targets
Identify and execute recommendations that are intended to optimize the performance of the initiative
Report to all relevant stakeholders on the performance of the project
For lead generation type of projects, relevant members to have in the team are as shown below:
This is arguably the most important step. It is paramount that you have the right people in the team. Don’t just ask for volunteers – often the best people for the job won’t step up, but they will contribute if you ask. Take a strategic approach to task force member identification, and, at all costs, you don’t want the same “usual suspects,” who often won’t challenge the status quo.
At the first meeting, it is important that the task force’s objectives / outcomes are clearly delineated. In addition, an overview of the process and logistics should be provided. Further, clear expectations, roles and responsibilities for task force members should be reiterated. Members should agree on such things as attendance requirements and task completion responsibility, as well as other responsibilities. Finally, the group should restate the outcome they want to achieve and form consensus around what success looks like.
If at all possible, the task force meetings should be in-person. If not, try to use video-conferences rather than teleconferences. Determine if a series of short meetings or one longer meeting is better; or, if a combination of the two would deliver the best result. In addition to defining the meeting frequency, make sure you articulate milestone dates when, for example, status reports might be due. You should also estimate the number of hours the task force members will be expected to give to task force work.
Once the above items are completed, the group should begin with a discussion on the optimization goals and priorities. Depending on what activities are executed for the lead generation initiative, there can be different types of optimization goals to consider. Below are some examples:

Optimize media spend
It is important that you update all relevant stakeholders on the status of the performance of the lead generation initiative. Provide an overview of the overall performance as well as what the task force has decided to undertake for performance optimization and if the results were as expected. Document any learning for integration into future implementation of other similar initiatives and sharing across other markets.
